Patient Partner goes bilingual at Treflan Surgery

Treflan Surgery chooses Patient Partner to help manage call congestion and improve their appointment booking process.

Treflan’s Practice Manager Tracey Banks explains: “We were inundated with calls
every morning at 8am for same day appointments. One patient complained he
had hit redial 47 times until he got through, despite us having the maximum
number of staff on duty to answer the calls.”

Many of Treflan’s patients are Welsh speakers, so it was also important that the system
was able to offer the option menu in both English and Welsh. Treflan have Welsh as the primary language on their Patient Partner system.

Patient Partner can be used for booking a range of appointments including flu clinics
and nurse appointments. At Treflan, it is mainly used for booking GP appointments.
In a typical month, around 1000 appointments will be booked, cancelled, reviewed
or amended.

As a result, the phones are quieter at 8am and throughout the day, making it easier
for patients who prefer or need to speak to a receptionist to get through. As Treflan
releases same day appointments at 6am, people are able to use Patient Partner to
book appointments before the surgery opens, easing the early morning rush.

In addition to reducing stress on reception and ensuring better use of time, Tracey
feels that introducing Patient Partner has helped to reduce missed appointments,
which cost the NHS millions of pounds each year. She also commends Voice Connect
for their support during and since the installation. “I have found Patient Partner easy
to use and the service from Voice Connect has been very good throughout.”
